Chapter 1: Introduction to the Spotlight Method

In my experience working at a dynamic UX Design and Research Agency, I've encountered a common truth: effective time management is vital. It’s crucial to recognize that you'll often feel overwhelmed, yet everything tends to fall into place eventually. Throughout my journey, I've sought to streamline my workflow but have repeatedly faced challenges with conventional methods. The multifaceted nature of UX work demands that designers balance broad concepts with minute details — a daunting task.

At times, I felt like I was being stretched thin, trying to comprehend the extensive scope of my daily responsibilities. However, through trial and error, I've developed a solution that has transformed my approach: the Spotlight Method.

Chapter 2: The Components of the Spotlight Method

The Spotlight Method combines the 'Floodlight' (to focus on the big picture) and the 'Flashlight' (for detail-oriented tasks) to create a balanced approach to UX design.

Section 2.1: The Daily Highlight

The first element of this method draws inspiration from the concept known as the Daily Adventure. By identifying a daily highlight, we can tackle the challenge of maintaining a broad perspective.

The essence of the Daily Highlight is to focus on activities that bridge long-term objectives and immediate tasks, enabling a more satisfying daily workflow.

However, this approach can be impractical for UX designers who must pay close attention to detail. Instead of concentrating on personal highlights, consider identifying a Project Highlight for the day:

  • Project Urgency: What tasks are approaching deadlines?
  • Project Satisfaction: What needs to be completed for the Statement of Work?
  • Project Joy: What can you do to impress clients or stakeholders?

This shift allows you to prioritize effectively, turning your Daily Highlight into a Floodlight that directs your focus for the day.

Section 2.2: Rethinking the Must Do, Should Do, Could Do Framework

Traditionally, tasks are categorized into Must Do, Should Do, and Could Do. However, I find this perspective limiting, as it can diminish our sense of agency. Instead, I prefer to view my work through the lens of a growth mindset, emphasizing choice and engagement in my daily tasks.

Section 2.3: The Eisenhower Priority Matrix

Initially, I utilized the Eisenhower Priority Matrix to prioritize my tasks, which segments work into three categories:

  1. Important & Urgent
  2. Important but not Urgent
  3. Not Important, but Urgent

While this framework is helpful, it can fall short for UX designers who juggle multiple projects and conflicting priorities.

Section 2.4: Introducing the Spotlight Attentional Matrix

To address this, I developed the Spotlight Attentional Matrix, which aids in focusing on essential details. By considering the time and energy available each day, I can prioritize tasks effectively.

For instance, the final deliverable to a client should receive maximum attention, while team presentations also warrant thorough review to eliminate errors. This way, I can ensure that my most critical tasks are appropriately prioritized.

Chapter 3: Implementing the Spotlight Method

To integrate the Spotlight Method into your daily routine, ask yourself:

  • What is your daily highlight? Is it focused on Project Urgency, Project Satisfaction, or Project Joy?
  • Which high-priority tasks align with your attentional matrix for that highlight?

For example, if no urgent tasks are pending, focusing on Satisfaction can be beneficial. Conversely, if a deliverable is nearing completion, it should receive your utmost attention.

Final Thoughts

I prefer to organize my matrix using Notion, but it can easily be adapted to other tools like Asana or Trello. Embrace this structured approach to enhance your productivity and achieve greater success in your UX design endeavors.
